As we continue to grow our fleet and expand services, we are seeking a highly organized Fleet Administrator to support our fleet operations. 

Shape Position Summary:

The Fleet Administrator plays a critical role in supporting the day-to-day management and compliance of FC Traffic Control’s vehicle and equipment fleet. This position is responsible for ensuring all fleet vehicles are properly licensed, maintained, tracked, and documented. The ideal candidate will be detail-oriented, tech-savvy, and able to coordinate with multiple departments to uphold fleet efficiency and safety. 

Shape Key Responsibilities: 

Fleet Coordination & Tracking 

  • Maintain and update vehicle and equipment records including VINs, registration, insurance, GPS, and inspection reports. 
  • Monitor vehicle assignment, mileage logs, and fuel consumption. 
  • Support dispatch with vehicle availability and location data. 

Maintenance & Compliance 

  • Track warranty coverage, repair histories, and service intervals. 
  • Ensure all vehicles meet state and federal compliance standards including FMCSA and OSHA, if applicable. 

Registration & Documentation 

  • Process new vehicle registrations, renewals, and titles. 
  • Maintain up-to-date insurance documentation for all vehicles and coordinate with insurance providers for claims and renewals. 
  • Prepare reports and audits for vehicle usage, costs, and performance metrics. 

Vendor & Inventory Management 

  • Manage fleet-related inventory (e.g., tires, batteries, safety equipment). 
  • Track fuel card assignments, vehicle tools, and asset returns. 

Technology & Systems 

  • Utilize fleet management software (e.g. Power BI Fleet Management System, Spireon) to track diagnostics, compliance, and real-time vehicle data. 
  • Generate reports and support cost analysis related to fleet operations. 

Qualifications 

Required: 

  • High school diploma or equivalent (associate's degree preferred) 
  • 2+ years of experience in fleet, logistics, or administrative coordination 
  • Proficient in Microsoft Office Suite and fleet software systems 
  • Strong organizational and time-management skills 
  • Working knowledge of DOT/FMSCA/OSHA regulations (preferred) 

Preferred: 

  • Experience in construction, utilities, or traffic control industry 
  • Familiarity with GPS tracking platforms and digital maintenance logs 
  • Valid driver's license with clean MVR 

Shape Working Conditions 

  • Office-based with occasional field visits to verify vehicles/equipment 
  • May require occasional travel to vehicle service providers or DMV locations 
  • Fast-paced, deadline-driven environment with shifting priorities
