What You’ll Do

You’ll be the go-to expert in managing the heartbeat of our fleet — our vehicles, equipment, tools, and records. From keeping us compliant to helping dispatch stay on track, you’ll juggle data, logistics, and team coordination with confidence.

Core Responsibilities

  • Maintain detailed records of all vehicles and equipment — including VINs, insurance, GPS tracking, and inspection reports.
  • Monitor vehicle usage, mileage, assignments, and fuel consumption across the fleet.
  • Ensure all vehicles and assets meet FMCSA, DOT, and OSHA compliance standards.
  • Support dispatch with real-time vehicle availability and location data.
  • Manage vehicle registrations, renewals, and title processing.
  • Oversee insurance documents and coordinate claims or renewals.
  • Track warranties, repairs, maintenance schedules, and service intervals.
  • Utilize software like Power BI Fleet Management System and Spireon to stay ahead of diagnostics, costs, and performance metrics.
  • Generate audit-ready reports and cost analyses for fleet operations.
  • Track inventory of fleet tools, safety equipment, fuel cards, and mechanic tools.
  • Ensure accurate documentation of asset mileage, location, and usage.
  • Schedule interviews for department-related staffing needs.
  • Manage invoice approvals and asset assignments in NetSuite, including depreciation and expense logging.

What We’re Looking For

Required Skills & Experience

  • High school diploma or equivalent; associate degree preferred
  • 2+ years of experience in fleet, logistics, or administrative support.
  • Tech-savvy with Microsoft Office and fleet management tools.
  • Exceptional organizational, communication, and multitasking skills.
  • Familiarity with compliance regulations (DOT/FMCSA/OSHA preferred).

Preferred Extras

  • Experience in construction, utilities, or traffic control industries.
  • Proficiency with GPS tracking systems and maintenance software.
  • Valid driver's license with a clean driving record.
